How We Work — 4 Steps to Sourcing Success

Simple process. Professional execution. Transparent every step of the way.

Step 1: Requirement Confirmation and Market Research

Gain a deep understanding of your requirements and standards, analyze the landscape of China's industrial supply chain, and determine the optimal sourcing strategy.

Step 2: Factory Matching and On-Site Audits

Select 3–5 candidates from a pool of over 600 pre-vetted factories and conduct on-site inspections of equipment, credentials, and production capacity to ensure direct engagement with the source manufacturer rather than intermediaries.

Step 3: Sample Confirmation and Contract Signing

Coordinate the production and express delivery of samples; upon confirmation, negotiate and sign a bilingual (Chinese-English) contract based on the factory's original pricing, subject to Chinese law and protected by a bilingual NDA.

Step 4: Production Monitoring and Logistics Delivery

Implement a three-tier quality inspection process—covering first-article, in-process, and final inspections—with real-time report sharing throughout; coordinate transportation and customs clearance to ensure a seamless end-to-end delivery process.

FAQ

How long does the entire sourcing process take?

From requirement confirmation to first delivery, the typical cycle is 6-10 weeks. Step 1 takes about 1-2 weeks, Step 2 about 2-3 weeks, Step 3 about 2-4 weeks, and Step 4 about 3-5 weeks. Exact timing depends on product complexity and shipping method. We provide a clear milestone timeline at launch.

What do I need to do at each step? What do you handle?

Your involvement is concentrated in Step 1 (describing requirements) and Step 3 (confirming samples and contract terms). Everything else is executed by the JiuMo team: factory screening, on-site audits, sample coordination, negotiation and contracting, triple quality checks, logistics and customs. We proactively report at every key milestone, so you do not need to follow up daily.

What exactly does the on-site factory audit in Step 2 cover?

We verify six dimensions on-site: production equipment condition and capacity match, quality management systems (ISO certifications etc.), export qualifications and compliance records, raw material supply chain stability, worker skill levels and training systems, and past export cases and client feedback. After the audit, we issue a standardized report with photos and ratings, providing a clear side-by-side comparison of 3-5 candidate factories.

What if the sample does not meet expectations? Can I request multiple rounds?

Yes. Sampling is not a one-shot deal. If the sample does not meet the standard, we coordinate factory revisions and re-ship. Typically 2-3 rounds achieve satisfaction. Each round takes about 7-14 days, with revision directions based on your clear feedback. We only proceed to contract signing after you confirm satisfaction with the sample. We never pressure you to place orders on unsatisfactory samples.

After signing the contract, can the factory secretly swap materials or lower standards?

This is exactly why Step 4 triple quality checks exist. First Article Inspection locks in production standards, in-production patrols spot-check consistency, and Pre-Shipment Inspection (AQL standard) ensures batch compliance. Photos are documented throughout, and reports are shared with you in real time. Any deviation is caught and corrected immediately, leaving no room for secret material swaps.

How do you ensure process transparency? Can I track progress in real time?

Every key milestone is updated in real time via email and a project progress tracker. After factory audits, we deliver photo-illustrated audit reports; for sample shipments, we provide logistics tracking numbers; during production, we send weekly progress reports with on-site photos and videos; and pre-shipment inspection reports are fully shared. You do not need to chase us. We proactively push updates, keeping the entire process visible.

What happens if factory capacity suddenly falls short or delivery is delayed?

We have contingency plans. A database of 600+ verified factories means we always have alternatives. If the primary factory faces capacity issues, we quickly activate a backup factory transition plan, minimizing delays. Meanwhile, in-production patrols detect capacity bottleneck signals early. Problems are not left to surface only before shipment.

Do I need to find my own freight forwarder or handle customs clearance?

No. Step 4 logistics delivery is fully coordinated by JiuMo. Selecting sea, air or rail transport options, processing export documents, and coordinating customs clearance are all handled by us. You only need to specify a European delivery address and wait for the goods. All logistics milestones are included in progress reports, so you always know where your shipment is.
